The storm crosses the caprock on a Thursday evening, drops golf-ball hail across three neighborhoods, and is gone by ten. By Friday morning every roofing company in Lubbock has more inbound calls than it has ever staffed for, and the phones stay hot for two weeks. The storm hit every roofer's phone the same. What separates them is what happens to the calls nobody could pick up.
A staffing plan cannot absorb a hailstorm
Hail season on the South Plains runs through spring into early summer, and one evening storm can generate a season's worth of demand in a night. No sane staffing plan covers that day, because the plan would bankrupt you the other eleven months. So the constraint is fixed: everyone who can climb is on a roof from seven to four, the office is one person, and call volume is running at some multiple of anything they can answer.
The callers, meanwhile, are working down a list. They searched "roof repair Lubbock," they have four names, and they are calling all four. In a 2025 CallRail survey of a thousand US consumers, roughly four in five said an unanswered call sends them to a competitor rather than to a second attempt. During storm week that behavior is even sharper, because the caller's ceiling is the urgent thing, not their loyalty to whichever company they dialed first.
The fifteen-second reply
The mechanism is plain. A programmable number sits in front of the office line. Calls ring through exactly as they always did, and when one ends unanswered — no pickup, or a busy signal while the office is on the other line — the system sees that outcome and sends a text within seconds. The text names the company, asks for the address, and asks one triage question: is water coming in right now?
The reply lands in a single queue with the caller's number and a timestamp, next to every other lead from the storm. The homeowner who called four roofers now has three voicemails and one conversation. The roofer whose text lands in fifteen seconds is talking to the homeowner while three competitors are still on ladders, unaware the call ever happened. Nothing about this requires anyone to climb down.
Photos before ladders
The same thread does the second job: it asks for photos. The roof from the yard, the gutters, the downspouts, the AC unit, the window screens. This is not busywork. Soft metal holds hail evidence — dented gutter lips, dinged vents, bruised condenser fins — and it is exactly what an insurance adjuster will look at. A homeowner's photo of dented gutters and a downspout full of shingle granules says "real claim" more reliably than a windshield survey of the street.
The photos let inspections be sequenced by evidence instead of by call order. Active leak: call back now, tarp crew today. Visible damage on soft metal: inspection scheduled this week. Nothing visible in the photos: still inspected, but not first. Every on-roof inspection is the better part of an hour of a senior person's day, and during storm week that hour is the scarcest resource in the company. Spending it on the roofs most likely to become jobs is the entire margin of the season.
The adjuster meeting is the second bottleneck
The lead is not the finish line. The homeowner files a claim, the carrier assigns an adjuster, and the roofer wants to be standing on the roof when the adjuster is — because that meeting is where the scope of the claim gets set, shingle by shingle. Miss it, and you are later arguing scope from photographs instead of pointing at hail bruises with the person who writes the estimate.
That meeting is a three-way coordination problem involving a homeowner, an adjuster with a packed storm calendar, and a crew lead who is on a roof from seven to four. The same text thread carries it: when the homeowner sends the adjuster's date, it goes onto the calendar with the address and claim number attached, and the day's route gets built around being there. Unglamorous, decisive.
The paperwork has to happen before the storm
Here is the part most vendors mention quietly or not at all. Business texting in the US requires carrier registration — the A2P 10DLC system. Since early 2025, carriers block or silently filter texts from unregistered business numbers, and registration involves a brand application and a campaign review that can take anywhere from days to a couple of weeks. You cannot stand this system up the morning after the storm. The review queue alone can outlast the demand surge.
The registration belongs in the quiet season, along with one bright compliance line: texting a person back seconds after they called you is a responsive, expected message. Using that same list of numbers months later for a "spring inspection special" is marketing, and it requires written consent you do not have. The first is the product. The second is a violation waiting for a complaint.
What a text cannot do
Water coming through a ceiling needs a human voice. The text has to offer an immediate call path for emergencies, and there has to be a real person and a real tarp crew behind it — a message alone is not a response to a flooding living room. The system also does not add capacity: if the company can run twelve inspections a day, it changes which twelve, not the number. It will not, by itself, win against the out-of-state canvassers who blanket a storm zone — though a local number that responds in seconds while a stranger knocks on doors is its own kind of argument. And if the reply queue lives in a dashboard nobody opens during the busiest week of the year, the whole thing fails silently. The queue has to reach the phone someone already looks at.
